1. Introduction
Pasiflora AI ("we," "our," or "us") is committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform and services. It applies to expert applicants, approved experts, enterprise client users, and visitors to our website.
2. Information We Collect
Information you provide directly: name, email address, phone number, professional credentials, degree and field of study, resume, LinkedIn profile, areas of expertise, country, and payment information. Information generated by your use of the platform: application status, quality scores, task history, and support correspondence. Information collected automatically: usage data, device and browser information, IP address, and cookies.
3. Interview Recordings and Voice Data
Applicants complete a structured interview in which we record the audio of your spoken answers. We disclose this and obtain your explicit consent on-screen before any recording begins. The recording is transcribed and scored as described in section 4, and is then deleted — we do not retain interview audio. Only the written transcript and the resulting score are kept, as part of your application record. We do not use your recordings to train AI models, we do not sell them, and we do not share them with enterprise clients. If you would prefer not to be recorded at all, contact support@pasifloraai.com to ask about an alternative assessment format.
4. Automated Decision-Making
Your interview is transcribed and scored by an automated system against a domain rubric. That score can determine the outcome of your application without human involvement: a sufficiently strong score can approve your application automatically, and a clearly failing score can decline it automatically. Scores between those thresholds are held for review by our team. The system considers the substance of your spoken answers against the rubric, together with the credentials you supplied. You have the right to obtain human review of any automated decision, to express your point of view, and to contest the decision — email support@pasifloraai.com and a member of our team will re-review your application.
5. Service Providers We Share Data With
We do not sell your personal information. We use the following processors to operate the platform: OpenAI (transcription and scoring of interview audio), Anthropic (platform AI features), Supabase (database, authentication, and file storage), Vercel (application hosting), Google Analytics (website usage measurement, only with your consent), and Google Workspace and Resend (transactional email). We also share limited profile information with enterprise clients when you are matched to their work, and with legal authorities where required by law. Each processor is engaged under terms that restrict use of your data to providing the service to us.
6. International Data Transfers
We are based in the United States and our infrastructure is hosted in the United States. Our experts and applicants are located in more than 100 countries, so using our platform involves transferring your personal information to the United States, where data-protection law may differ from that of your country. Where required, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses for transfers from the EEA and the UK. 7. How Long We Keep Your Data
Interview audio: deleted as soon as it has been transcribed and scored. We do not retain voice recordings. Application records, including transcripts and scores: for as long as your account is active, and up to 3 years after your last activity so that we can answer questions about a decision and meet legal and tax obligations. Payment and tax records: as required by law, typically 7 years. Website analytics: up to 14 months. Deleted account data is removed from active systems promptly and from backups on our standard backup rotation.
8. Cookies and Analytics
We use cookies that are strictly necessary to run the site, including keeping you signed in — these cannot be switched off. We also use Google Analytics to understand how the site is used. Analytics cookies are only set if you accept them in the banner shown on your first visit, and you can change your choice at any time using the "Cookie settings" link in the site footer. We do not use advertising or cross-site tracking cookies.
9. Data Security
We implement industry-standard security measures including encryption in transit and at rest, role-based access controls, multi-factor authentication on administrative accounts, audit logging, and secure payment processing. However, no method of transmission over the internet is 100% secure.
10. Your Rights
Depending on where you live, you have the right to: access your personal data; correct inaccurate data; request deletion of your data; object to or restrict processing; withdraw consent you have given, including consent to interview recording; obtain a portable copy of your data; and obtain human review of an automated decision. If you are in California, you additionally have the right to know what personal information we collect and to opt out of sale or sharing — we do not sell or share personal information as those terms are defined by the CCPA. We will not discriminate against you for exercising any of these rights. To exercise them, email support@pasifloraai.com. You also have the right to lodge a complaint with your local data-protection authority.
11. Children
Our platform is not directed to children. You must be at least 18 years old to create an account or apply, and we do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact support@pasifloraai.com and we will delete it.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the date at the top of this page and, where the change materially affects how we use data you have already given us, notify you by email.
